Production / Office Manager (Residential Remodeling) Duties and Responsibilities
There is an array of responsibilities and because this is a small company, the Production / office manager must be a jack-of-all-trades.
Production Tasks
- Assists owner with preliminary estimating and formal proposals
- Designate a Project Manager for each project (For foreseeable future N/A 1 project manager)
- Coordinates with owner on selections orders all allowance and selection’s making sure its at the job site on time
- Oversees daily logs and weekly photos are being utilized
- Conduct weekly production meetings as well as weekly one on one meetings with all project managers
- Ensure proper job costing (Track actual costs against estimated costs)
- Monitor and report Production Financials
- Coordinate each hand off from Sales to Production
- Ensure projects are completed on time and on budget
- Supervise the maintenance, use and storage of company owned equipment
- Make sure safety guidelines are followed
- Maintain Master Schedule
OFFICE ADMINISTRATION
- Ensures office is organized and runs smoothly; responsible for new client incoming calls, qualify project, compile lead sheet and set-up initial appointment utilizing google Calendar with pertinent information
- Trouble shoots and solves staff, client, vendor and sub-contractor issues as possible
- Assists owner for developing and implement office systems and procedures
- Maintains and manages computer network and ensures appropriate backup and storage of computer files in collaboration with outside tech support
- Responsible for operation and maintenance office equipment and inventory of office supplies
- Assist owner with organizing and composing office correspondence, documents and other reports;
- Ensures all contact lists for staff, vendors, suppliers and sub-trades are maintained and updated
- Assists President and other Officers as required, helping in field, running supplies, etc.
SALES & PRODUCTION
- support sales and production as necessary.
